Step 1 - Install the Mio app

Webex administrators: Check your organization's settings first to allow users to create channels.

  1. Go to https://m.io and click Install for Free.

  2. Follow the onboarding steps.

You should see a welcome message from the Mio app in Webex once you've successfully installed.

For more details, read this article.

Step 2 - Find the Mio menu and help message

In a direct message with the Mio app, type "menu" to pull up your Mio menu. If you need help, you can also type "help".

Step 3 - Create your first universal channel

Mio universal channels can be joined by external organizations on different chat apps.

  1. In a direct message with the Mio app, type and send "create".

  2. Select New space.

  3. Type in the channel name and select Create channel.

Share the universal channel link with your external contacts so they can join you.

For more details, check out this article.

Step 4 - Convert an existing Webex space to a universal channel

You can convert any existing Webex space into a universal channel. All existing space members will be able to chat with external contacts who join.

Note: This feature is only available for spaces that aren't added to any teams. If your existing space is in a team, you need to first remove it by clicking the gear icon next to your space's name.

  1. In a direct message with the Mio app, type and send "create".

  2. Select Existing space.

  3. Search for the existing space name and select Create.

For more details, check out this article.

Step 5 - Invite external contacts to your universal channel

Once you've created your universal channel, copy the invite link (https://app.m.io/uc/abcde) and send it to any external contact you want to chat with.

When they open the link in their browser, they'll be asked to install the Mio app if they haven't already.

For more details, check out this article. If your contact is joining from Microsoft Teams, this article may help.

Step 6 - View universal channel membership

Your external contacts won't show up in the regular members list in Webex because they aren't actual users on your tenant.

In a direct message with the Mio app, send "members" and pick which channel you want to view members for.

For more details, check out this article.

Step 7 - @mention an external contact

To @mention someone in a universal channel, type their name exactly as it appears in the member list from Step 6. Include their first and last name, but leave out the (Organization).

Note: @mentions will work for the recipient, but they won't highlight for the sender, because they are not a native user in your workspace.

For more details, check out this article.

Step 8 - Direct message an external contact

If you want to start a direct message with an external contact, they must already be in a universal channel with you (see Step 5).

  1. In a direct chat with the Mio app, send "menu". Select New Direct Message.

  2. Find the name of the external contact you want to chat with in the drop-down list.

  3. Once you select Send invite, you will install your contact's secondary app to your Webex organization.

  4. Your contact will receive a message from the Mio bot in their chat app (Slack or Microsoft Teams). They must accept your invite and add your secondary app to their Slack or Microsoft Teams before messages can be sent.

A secondary app is a bot that Mio has provisioned for an external user. Secondary apps relay messages between Webex and other chat tools. This enables you to stay in Webex while your external contacts remain in their communication tool of choice.

  • Any external contact you direct message will show the word "bot" in their avatar.
